About the Event

Date: October 21, 2017

Time: Noon to 5 p.m.

Location Downtown Main Street, Pflugerville, TX 78660

Event Activities: Cook-Off contest, vendors, children's area, Heat Wave Car Show, live music and a jalapeno eating contest.

APPLICATION DEADLINE: Friday, October 13, 2017 at 11:59 p.m. No Exceptions. Booth space is limited and spaces may fill before the entry deadline.

Early Bird Discount Fee: Entries received by Saturday, October 3, 2017 at 11:59 p.m.

Sponsorship Benefits

Sponsors that purchase a booth will also receive: recognition from the stage as a "Cook-off" sponsor, sponsor listing on the Pfall Chili Pfest's website, and company logo included on Chili Pfest promotional material*. 

 *Inclusion on promotional materials may be limited if application is submitted after September 1. 

Vendor Guidelines

Arrival / Setup Time: Accepted vendors are to arrive for setup on Saturday, October 21, 2017, between 8 a.m. and 10:30 a.m. Vendor vehicles used for unloading supplies are to be off the event site streets by 11 a.m. as streets will be closed. All will be issued identifying credentials to wear. Booths are to be open for business starting at 12 p.m.

Teardown: All accepted vendors agree to remain open for business on site until the event ends at 5 p.m. — the streets will remain closed to the public until approximately 6:30 p.m. to allow for teardown.

Unauthorized Vendors: Those vendors who have not registered and paid the booth fee will be ushered off the event site by Pflugerville Police Officers. This includes those who walk and hand out information, or try to sell products of any kind while walking through the crowds, or attempting to set up a booth, or standing within the event site to sell. Unauthorized vendors will be easily identified as those not wearing Chili Pfest event credentials, which are issued to those who have been accepted as a vendor and paid the 2017 Pfall Chili Pfest fees.

How to know you are accepted as a vendor: A "Notice of Acceptance" will be sent to you by email once your application is processed and approved. A full list of instructions, site map and parking permits will be emailed to you within the two weeks before the event occurs. If you have not received a "Notice of Acceptance," you have not been admitted to the event. No day-of admission for vendors is permitted. Please call 512-990-6113 with any questions.

If accepted, I agree to pay the following fees within 7 business days of receiving the "Notification of Acceptance" email. I acknowledge that my acceptance is conditional upon payment of these fees. Rates will be based on the date this application was submitted.

Early Bird (before Saturday, October 3, 2017 at 11:59 p.m.)

Regular Registration (after Sunday, October 4, 2017 at 12 a.m.)

  • Single Booth (12' x 12') = $500

Payments / Refunds: Refunds of booth fees, less the online processing fees, will be issued to those cancelling in writing on or before before Monday, October 16, 2017 by 5 p.m. Refunds will not be issued for no-shows on event day, Saturday, October 21, 2017.

RELEASE AND INDEMNIFICATION AGREEMENT FOR ADULTS

I, the above-named adult, am eighteen (18) years of age or older and have voluntarily applied to participate in the Pfall Chili Pfest. I acknowledge that the nature of the event may expose me to hazards or risks that may result in my illness, personal injury, or death and I understand and appreciate the nature of such hazards and risks. In consideration of my participation in the Pfall Chili Pfest, I hereby accept all risk to my health and of my injury or death that may result from such participation and I hereby release the City of Pflugerville, its governing board, officers, employees and representatives from any liability to me, my personal representatives, heirs, next of kin, and assigns for any and all claims and causes of action for loss of or damage to my property and for any and all illness or injury to my person, including my death, that may result from or occur during my participation the Pfall Chili Pfest, whether caused by negligence of the city of Pflugerville, its governing board, officers, employees, or representatives, or otherwise. I further agree to indemnify and hold harmless the City of Pflugerville and its governing board, officers, employees and representatives from liability for the injury or death of any person(s) and damage to property that may result from my negligent or intentional act or omission while participating the described Pfall Chili Pfest.

 

I have carefully read this agreement and understand it to be a release of all claims and causes of action for my injury or death or damage to my property that occurs while participating in the described Pfall Chili Pfest and it obligates me to indemnify the parties named for any liability for injury or death of a person and damage to property caused by my negligent or intentional act or omission.
